Light Trail Installation: Delivery & Site Responsibilities

Define the handover from made components to an agreed site scope.

Light Trail Installation: Delivery & Site Responsibilities

Light trail installation planning needs a clear handover between the display supplier, the venue and the teams working at the site. For a custom lantern display, agree who prepares, transports, receives, assembles and reviews each part of the order before committing to the event schedule.

Make the site responsibilities explicit

List the activities required at the venue and name the responsible party for each. Discuss site access, foundations or mounting provisions, unloading, lifting, assembly, local electrical work and the review required before public use. Site-specific technical decisions belong with the appropriately qualified project team.

Review the packed and assembled versions

A large display may be shipped in sections. Ask how the proposed version is divided, identified, protected and reassembled. Request the applicable assembly information and confirm which tools, personnel and site resources must be arranged.

Build a handover checklist

  • Before dispatch: confirm the approved configuration, component list, review records and packing plan.
  • For arrival: agree the receiving contact, unloading arrangements and a process for recording visible damage or missing items.
  • For assembly: confirm access windows, component identification and the party supervising the work.
  • Before opening: agree the project-specific inspections, outstanding items and handover records.

Allow for the whole delivery sequence

Work back from the intended opening date through site preparation, shipment, receiving, assembly and review. Confirm the actual lead times with the relevant parties. Avoid treating the date a display leaves the workshop as the date it will be ready for visitors.

Keep the scope attached to the order

Record the delivery responsibilities and any agreed support in the quotation and project documents. A workshop photograph, concept image or short film can help explain the form; it does not define who will perform the on-site work.

Questions to settle before the next step

Does supplying lanterns automatically include installation?

The included services depend on the agreed order. Ask for fabrication, transport, assembly support and local site work to be identified separately.

Who should confirm local electrical and site requirements?

The venue and its appropriately qualified local project team should confirm the requirements that apply to the actual site and configuration.

What information helps with packing and delivery planning?

Share the destination, receiving access, available handling resources, display dimensions and intended opening date. Confirm the method and responsibilities for the actual order.

Bring your project into the conversation.

Share your country, venue, planned dates and selected references. Include a plan or photographs when available so the proposed design and scope can be reviewed.
